Badges by profile and zone at a festival
Each person gets a badge for their profile (artist, press, staff, supplier, VIP…), and each badge only opens the zones and days that apply to it. Each area manager approves or rejects their people’s badges, and they’re checked with scanners at the doors.

That’s how we do it at the Coca-Cola Music Experience: artists, their tour party, press, content creators, staff and VIPs, each with their own badge and zones: backstage, exclusive areas and restricted access points.
Profiles and zones: an example
A typical festival set-up. The zones and who approves change from event to event.
| Profile | How they’re added | Zones | Who approves |
|---|---|---|---|
| Artists and tour party | List from production | Stage, backstage and dressing rooms | Artist production |
| Press and content creators | Request form | Press area | Communications |
| Staff | List by area or, if there’s a health and safety platform, from it | Their area’s zones, such as the photo pit | Each area manager |
| Suppliers and subcontractors | From the health and safety (PRL) platform, via API | Work areas, only on their days | Production, with health and safety validated |
| VIPs and guests | Guest list | VIP area | Organiser |
How it’s organised
- You define the profiles and, for each one, its zones and days.
- Each profile comes in the way that suits it best: a list, a web form or your own system, via API. They can be combined at the same event.
- Each area manager approves or rejects their people’s badges.
- Each person gets their badge as a PDF by email, with their code. If they come to the desk, their label is printed.
- At the doors, Exyt Events+, our access control system, checks each badge with scanners. The printed label and the PDF on a phone both work.
- You see who goes into each zone as it happens and, at the end, we give you the event report.
Telling them apart at a glance
Festivals usually use wristbands; conferences and trade fairs, badge cards. The printer prints in black, so each profile’s colour goes on the wristband, badge card, holder or lanyard. And it helps to write the pass type too, so door staff don’t rely on colour alone: we explain it in what to put on an event badge.
Frequently asked questions
Can a badge be valid on some days only?
Yes. Each badge carries the zones and days that apply to it, and it doesn’t open outside them.
Who decides who gets a badge?
Each area manager approves or rejects their people’s badges.
Does the PDF on a phone get you in?
Yes. At the doors, both the printed label and the PDF we sent work.
What if someone loses their badge or changes profile?
The old one is cancelled and they get a new one at the desk. The old one no longer opens the doors.
Shall we set it up for your festival?
Tell us your profiles and zones, and we’ll tell you how to organise it.
