How to organise accreditation for a graduation
Each graduate registers beforehand on a form, requests their guests’ tickets and receives them by email. On the day, tickets are checked at the entrance, and anyone with questions or without their ticket gets help on the spot.

That’s how we do it at the Universidad Europea and EAE Business School graduations, with ceremonies of thousands of graduates and guests.
Before the ceremony
- We set up the registration form with the fields you need, and graduates identify themselves when they register.
- From the registration they request their guests’ tickets: as many as the university allows, and the form won’t let them ask for more.
- The tickets arrive by email, as a PDF with a code, to show on a phone or print at home.
- You see who has registered and which emails were delivered, which were opened and which didn’t arrive. If you also book the helpdesk service, we resend them to anyone who didn’t get them.
On the day
- At the entrance, each graduate’s and guest’s code is checked.
- You know who attended: attendance comes from those checks.
- On site, we help anyone with questions or without their ticket: we look them up by name and, if they’re registered, they go in.
- If badges are printed, two fields are enough: name and surname, and “Graduate” or “Guest”. You can tell at a glance who goes up on stage. At some graduations we’ve also used QR wristbands for guests.
Who gets what
| Who | What they get | On the day |
|---|---|---|
| Graduate | Their badge and their guests’ tickets, by email | Goes in with their code |
| Guest | Their ticket, passed on by the graduate | Goes in with their code |
| University or school | A panel with registrations, emails and attendance | Follows who arrives and gets the report at the end |
Frequently asked questions
What if a graduate arrives without their ticket?
We help them on the spot: we look them up by name and, if they’re registered, they go in.
Do you know who attended?
Yes. Every ticket checked is recorded, and at the end we give you the event report.
Does anything need printing?
No: the ticket on a phone works. If you want printed badges for the graduates, we print them at the desk.
What happens to the graduates’ data?
We keep it for a maximum of 4 years and, if the university asks, we delete it when the ceremony ends. More in what happens to attendee data.
Shall we prepare your graduation?
Tell us the date, how many graduates you expect and how many guests each one can bring.
